Key Family of Companies is currently seeking an Implementation Coordinator to join our growing team! The Implementation Coordinator is eligible for remote (at-home) work, but at times will be required to work in the office for training, meetings, etc. based on business needs.

Position Summary: The Implementation Coordinator is responsible for ensuring that the new and renewing business submitted to KBA is completed timely so that members and clients have the needed information for their KBA administered products. The Implementation Coordinator works with internal and external parties in a professional and timely manner to ensure all necessary information is completed and submitted for the internal departments to set-up, renew and/or implement our clients.

Implementation Coordinator Job Responsibilities:

  • Lead and manage new and renewal case project plans and coordinate efforts with the Sales Team and Client Services VP assigned to each case.
  • Provide superior service and support to internal and external clients/vendors throughout the implementation and/or renewal process by assisting with questions, planning, enrollment materials, new administration materials, understanding of the implementation timeline and any other assistance that may be needed.
  • Maintain all case information in Salesforce, ensure all required documents are signed and received for each case. Conduct interdepartmental weekly meetings to review and discuss status of cases and coordinate external calls with clients and brokers in a professional manner.
  • Track and monitor turnaround times in Salesforce to ensure all cases stay on target to be implemented and/or renewed in a timely manner.
  • Manage Implementation Inbox's for new and renewal cases, ensuring that turnaround times are met, and WOW service is being provided to internal and external clients.
  • Coordinate with Licensing and Appointment to verify agent appointment information is on file or obtain agent appointment information when it is not on file.
  • Create Implementation Guides, Administrative Guides, Employer Welcome Packets and any Open Enrollment material needed, and deliver all materials to the client and/or broker in a timely manner.
  • Coordinate with Sales Admin and RGI on new and renewal cases to ensure all required initial paperwork, rates and rate breakdowns are received in a timely manner.
  • Attend weekly/monthly department meetings, coordinate with Team Lead to ensure cases are being covered and notify Team Lead when assistance is needed.
  • Act as back-up for fellow Implementation Coordinator's, as necessary.
  • Maintain timely reporting and tracking of implementation process to ensure quality implementations and to provide WOW service to our new and renewing clients.
  • Conduct audits of new cases and renewal acceptance.
  • Maintain understanding of all KBA products and services associated with implementation.
  • Perform other work-related duties assign.

Implementation Coordinator Requirements:

  • Minimum 2 years client/customer service, claims, or other insurance experience in the healthcare industry (TPA, Fully Insured) preferred.
  • Minimum education: high school diploma or GED.
  • Must possess strong and effective communication skills, both written and verbal.
  • Proficient in Microsoft Office products (Excel, Word, Access, Outlook).
  • Ability to work in a fast-past environment, meet deadlines and prioritize.
  • Attention to detail with ability to organize, track and report multiple tasks.
  • Works well in a group and with team.
  • Ability to manage competing priorities and tight deadlines.
  • Strong organizational and analytical skills.
