Key Family of Companies is currently seeking an Account Coordinator-Flex in our Indianapolis Office.  The Account Coordinator - Flex position will coordinate processes for many of the larger Flex Accounts, General Claims Accounts and Monthly Group Billings and payments.

 Essential Duties and Responsibilities: 

  • Provide overall WOW service to the Flex Accounts both in Customer Service calls and specific group tasks.
  • Work closely with the day to day contacts for large Flexible Spending groups for the reporting, Customer Service tickets, account maintenance (terminations and enrollments) and overall service of several large clients.
  • Annual forfeiture reports for the groups on the Flex General Claims Account that pay as they deduct.
  • Annual reporting for large FSA/HRA accounts, as requested.
  • Work with the KBA marketing team to complete all pieces of large group Request for Proposal (RFP).
  • Attend weekly Flex Meeting and be prepared to communicate on assigned group.
  • Assist with renewal processes for the Account Manager for the January renewals.
  • Generation of administration billings on all flex groups and audit for accuracy. Generate billings for special fees, ie., enrollment fees, 5500's, premium only.
  • Daily cashlog posting and balancing of Flex claims and Flex Admin.
  • Perform Special Handling functions of groups on the KBA GCA account.
  • Train as receptionist backup (when needed).
  • Weekly customer service phone duties of ~8 hours per week.
  • Assist with newsletter articles.
  • Accurately answer questions on a timely basis related to accounts, procedures, services and service issues to both internal and external customers.
  • Thorough documentation on all processes, including group specific processes.
  • Report weekly to management on progress of items listed through a scheduled one on one.
  • Be available for occasional client related travel as needed and directed by their Account Manager.
  • Quickly address possible issues that are seen from such things as reports printing incorrectly, reports not printing, etc.
  • Perform other work related duties as assigned. 

Competencies, Knowledge, Skills and Abilities:

  • HRA, HSA, FSA knowledge a plus.
  • Highly organized.
  • Proper prioritization of overall job.
  • Good written and verbal communication skill.
  • Advanced Excel skills.
  • Analytical skills.
  • Strong working knowledge of Microsoft products such as Access, Outlook, Word, PowerPoint.
  • Ability to work in a fast-paced environment.
  • Excellent time management skills and ability to mullti-task.
  • Strong math skills.
  • Ability to work independently and as part of a team.
  • Self-motivated.
  • Use of discretion when working with confidential and privacy information.
